Job Description:
We are seeking a highly organized and experienced Executive Assistant / Bookkeeper to join our team. This role is vital in ensuring the smooth operation of our internal processes, client support, and overall business success. The ideal candidate will be a self-starter, skilled in administration, bookkeeping, HR, and comfortable with cloud-based systems. The position starts at 20 hours per week, with the potential to transition to a full-time role.
Key Responsibilities:
- Bookkeeping and Administrative Support: Manage financial records, invoices, and expenses.
- Organize and maintain digital filing systems: Ensure efficient business administration.
- HR Support: Assist in HR-related tasks such as employee onboarding, documentation, and compliance. Help maintain employee records and HR systems.
- Scheduling and Calendar Management: Keep track of deadlines, schedules, and appointments for both clients and internal business needs.
Help maintain the smooth flow of our daily operations.
- Cloud-Based Systems: Be proficient in working with cloud-based software and tools for document management, scheduling, and collaboration.
- Digital Filing: Organize and maintain digital files and documents, making information easily accessible when needed.
- Social Media Coordination: Assist in managing our social media presence, including scheduling posts and responding to inquiries.
- Payroll Administration: Familiarity with payroll processes and systems, ensuring accurate and timely payroll for our clients and internal staff.
Internal Systems Management: Maintain spreadsheets and systems used for internal business processes. Ensure data integrity and security.
Qualifications:
- Proven experience in administration, bookkeeping, and HR support.
- Familiarity with cloud-based systems and digital filing.
- Excellent organizational and time-management skills.
- Strong attention to detail.
- Proficiency in payroll administration is a plus.
- Social media coordination experience is a bonus.
- Strong communication skills.
- Self-motivated and capable of working independently.
- Flexibility to adapt to changing needs and priorities.
